How to Use NCR Forms for a Clear Shift Handover
Share
At a shift change, the next team needs to know what happened, what is still open and who owns the next action. A custom NCR handover form can give the outgoing and incoming teams matching written copies at the same time. It should support a conversation, not replace one.
This example suits an ordinary workshop, facilities or service operation. If your handover is governed by safety, healthcare, security or other sector-specific rules, follow those procedures first. A printed form does not by itself establish compliance.
Start with the purpose of the handover
Decide what the incoming person must know before they start. For a service team, that might be an unfinished job, equipment awaiting attention, an item to collect or a customer call due later. A useful form distinguishes something that was completed from something that still needs action. It does not need to repeat the entire day's paperwork.
Record what changed during the shift
Include a date, shift or time, location, job or equipment reference and a short account of the relevant event. Name the status at handover: complete, waiting, escalated or another term your team already uses. If an issue needs action, write what should happen next and who should take it. Leave enough space for a specific note rather than a vague “see previous shift”.

Make the receiving team part of the process
Set aside time for the incoming person to ask questions and compare the form with the actual situation. If a sign-off box is useful, label what it is intended to confirm, such as receipt of the handover information. Do not assume a signature alone proves that equipment is safe, work is complete or every listed item has been independently checked.
Give each copy an owner
For a duplicate NCR handover, one sheet might stay with the team starting the shift and the other go to a supervisor or office. Your own routing may be different. Agree where each copy goes, when it is filed and how an open item is brought into your job system. If more people need the information, decide whether they need another paper copy or access to an existing shared record. Sheet colour has no fixed recipient; our NCR paper-colour guide explains how to choose a routing system.

Link open items to the next record
If an unfinished job carries into another shift, reuse its job or equipment reference on the next record. Note what changed since the previous handover rather than copying old notes without checking them. Close an item only when your team's normal process says it is finished. Our paper-and-digital job system guide covers moving the information into a digital record without losing the link to the original form.
Check whether the layout works in practice
After a few shifts, ask the people who receive the forms which questions they still have to chase. If the same space runs out or staff keep adding a reference by hand, include that in the next artwork review. A custom NCR service report pad may suit work performed during a shift, while a separate handover layout may be better for outstanding items between teams. You do not have to force both purposes onto one form.
If you need a handover form shaped around your own teams, request a custom NCR printing quotation and explain what the outgoing team records, what the incoming team needs to see and where the copies should go. MD Print Shop can prepare a digital proof for your approval before printing.
